Privacy Policy for Aquvis Mobile App

Aquvis Ltd (“we,” “our,” or “us”) provides Aquvis mobile App and Web Portal as a professional B2B tool for document capture and digitization of content. This application is a data-capture extension of the service provided to our client organizations (the “Customer”).

1. The Role of the Customer (Data Controller)

This application is used exclusively by individuals authorized by our Customers (typically contracting organization).

  • Data Controller: The Customer determines the purpose and legal basis for data collection.
  • Data Processor: We process data only on behalf of and under the written instruction of the Customer.

2. Data Capture and Conversion

The core functionality of this app is to digitize physical business records.

  • Camera Access: We require access to user’s device camera to capture still images of physical documents (e.g., Delivery Notes, Waste Transfer Notes).
  • No Video Collection: This application does not record, collect, or transmit any video data.
  • PDF Generation: All captured images are processed and converted into a PDF document locally on the device prior to transmission.
  • Metadata: To ensure the validity of the audit trail, the app attaches a timestamp, User ID to the document name before the transmission.

3. Secure Data Transmission (AWS)

We utilize enterprise-grade cloud infrastructure to protect professional data:

  • AWS SDK Integration: Converted PDF documents are transmitted directly from the mobile application to our secure Amazon Web Services (AWS) environment.
  • Encryption: All data in transit is protected using  the AWS SDK.
  • Temporary Storage: Once the PDF is successfully uploaded to the AWS server, the temporary image files used for conversion are automatically purged from the mobile device.

4. Account Management and Revocation

To maintain the security of the Customer’s business data, access is strictly controlled:

  • Provisioning: User accounts are created and authorized by the Customer’s administrator via our secure web management portal.
  • No In-App Sign-Up: There is no self-service registration or sign-up functionality within the mobile app.
  • Revocation: The Customer (the organization) has the absolute discretion and technical ability to revoke user access or deactivate accounts at any time through our secure web management portal.

5. Data Retention

Data retention is governed by the Customer’s internal policies and relevant industry regulations (such as statutory audit requirements for waste management or transportation).

  • We do not determine the length of time data is stored.
  • We will delete or return data only upon the explicit instruction of the Customer or as required by our service agreement with them.

6. Account Deletion & Data Rights

In compliance with Google Play’s user data policies, we provide a path for account and data inquiries:

  • Standard Procedure: Users wishing to delete their account or deactivate their access should contact their Company Administrator.
  • Request Facilitation: If a user is no longer affiliated with the Customer and cannot reach an administrator, only valid user may submit a request for account deactivation via our web portal: https://app.aquvis.com/account-deletion-request-form

7. Security

We implement robust technical and organizational measures to protect data, including secure API authentication and restricted access to AWS buckets.
